What Runs Ledger does

Runs Ledger is a logbook for pilot car and escort drivers and the companies they run for. Log every run, see what you made, and send clean invoices, all from your phone.

Features

Log every runDate, job #, lead or chase, load type, time in and out, and notes.
Pay figured for youSet your rate per mile once and each run's pay fills in. Or type a flat pay.
Extras that add upDeadhead miles, wait time, overnight pay and miles back home add to the run total.
Scan the job map or permitSnap the printed map or import the permit (PDF, photo or QR). It reads the job #, contacts, route and miles, even handwriting.
Open the route in MapsOne tap opens the route from your job map in Maps.
TrucksAdd the truck # on a run. The truck directory fills in the truck name and trucking company.
Expenses with receipt photosFuel, motels, meals. Snap the receipt and keep it with the expense.
Totals and taxesRuns, pay and miles by day, week, month or year, plus a tax year summary.
State escort rulesEscort requirements, curfews and certifications for each state, with sources.
Dispatch scheduleThe boss assigns lead and chase drivers and yard times; drivers get a notification.
InvoicesGroup the week's runs into invoices with your header and rates, then print or save as PDF.
Your company, privateStart a company and share an invite code with your drivers. Each company's runs stay private.
Phone, web and Android appUse it in any browser or the Android app, which adds GPS mileage and arrival reminders.

How to

1Start a run

Tap the big + Add Run button at the bottom.
Tap Set now next to Time in when you start.
Type the Job Number, pick Lead or Chase and the Load.
When you're done, tap Set now next to Time out, type your Actual miles, and tap Save run. Not done yet? It waits in Drafts.

2Import a map or permit photo

On a new run, tap Scan job map to take a photo of the printed Google Maps page, or pick a photo you already took.
Got a permit? Tap import a permit and choose the PDF, a photo, or its QR code.
Runs Ledger reads the job #, contacts and phone numbers (even handwritten ones), the route and the miles. Check what it filled in, fix anything, then save.
Tap Open route in Maps to drive it.

3Trucks

On a run, tap Add truck and type the truck #. A truck # you've used before fills in its last driver.
Bosses: in Trucks, add each trucking company and its trucks (truck # and name). Drivers then see the name and company fill in by themselves.

4Wait time

Stuck waiting on the load? Under Time & Wait, tap Start wait. The timer keeps going.
Tap End wait when you roll. Wait time adds up across stops.
Check Wait time pay so it's added to the run's total pay.

5Invoices

Open Invoices and tap Invoice setup once: your business name, address, phone, logo, pay-to details, rates and notes.
Pick the week. Runs Ledger groups the runs into invoices and shows anything missing.
Open an invoice, check it, then print it or save it as a PDF to send to whoever you ran for.
When the money comes in, check Paid. Unpaid runs stay flagged so nothing slips by.

6Schedule

Bosses: open Schedule, pick the day, the lead (front door) and chase (rear door) drivers, the yard and yard time.
Tap save. Drivers see it on their phone and get a notification.
Add the truck # later when you know it.
